Accounts Administrator - Joel Gott Wines

Job Summary:

Manage daily office responsibilities and provide accounting support for the Joel Gott winemaking team.

Essential Functions:

  • Organize, code, and reconcile month end credit card statements for VP of Winemaking and others as needed
  • Code Invoices for A/P, assist in tracking capital expenses and large budget purchases
  • Create purchase requisitions in SAP/PO system and follow through on product and equipment deliveries at multiple locations.
  • Enter employee timecards and mileage into payroll system.  Help provide payroll support to managers informing them of compliance issues.   Keep track of PTO and employee forms
  • Maintain current knowledge of company HR policies and benefits and act as liaison to keep employees up to date on policy changes.  Work with TFE HR to be sure JGW is staying in compliance.  Organize training seminars.
  • Assist in HR duties including but not limited to assisting in employee recruiting and interviewing, job fairs, postings, phone interviews, reference checks, new employee onboarding, maintaining employee files and job descriptions, relaying confidential employee information.
  • Work with TFE Procurement and A/R on new Vendor and Customer setups.  Follow up with invoicing if necessary.
  • Help coordinate travel plans and logistics for VP of Winemaking.
  • Help with organizing and creating spreadsheets, power points, various projects, and calendar for VP of Winemaking.
  • Assist vineyard department with vineyard database maintenance, spreadsheet projects, map files, and reports relating to grower data
  • Oversee general upkeep of office and act as liaison with office vendors (IT support, maintenance issues, break room and conference room organization/cleanliness, stocking office and break room supplies, cleaning company)
  • Oversee two off-site production offices in San Luis Obispo and Oregon. Assist with IT/maintenance issues and stocking office supplies. Assist in office furniture/equipment or other larger purchases.  Organize cleaning, maintenance, keys, etc.
  • Assist Production Manager with company car maintenance and cleaning services.
  • TFE liaison with IT to be sure employees have current computers, software, phones/cases, etc. Help improve efficiencies in systems in the office by improving IT and working with TFE on upgrades.
  • Act as health and safety liaison to ensure employees stay current on annual trainings. Help supply the proper resources and time to complete trainings for all full-time and seasonal employees.
  • Manage small wine inventory, stock current vintages and requested wine for production team
  • General office support including voicemail, filing, overseeing front reception area, mail and shipping
  • Help plan harvest meals, staff lunches, birthdays and other team events
  • Transport wine samples, paperwork, and supplies between various TFE and JGW facilities as needed


  • Education:  Associate's degree (A.A.) or equivalent
  • Experience: 2 or more years administrative and payroll experience
  • Proficient computer skills including MS Outlook (email/calendar/scheduling) and Excel
  • Excellent written and verbal communication skills, strong organizational skills
  • Accuracy, attention to detail, and the ability to follow through
  • Willingness to take initiative in order to facilitate satisfactory completion of tasks
  • Ability to lift at least 45 pounds (case of wine)
